7. Have the projector delivered ahead of time to your location
The most convenient way to rent a video projector is to have the projector delivered to the location you will be using it. Most video projector rental services are able to have the projector delivered ahead of time so you do not need to pick it up, carry it around and risk damage to the unit. Most rental services will also be able to pick up the video projector once you have finished using it. Check with the rental service, as they will either have you leave it where you are (as is the case in many major hotels), or have you simply leave it at the nearest FedEx or UPS drop-off location (again, often in hotels, convention centers, etc.). 8. Buy insurance for the unit Nearly all rental services will allow you to purchase insurance for a nominal fee. Many will even require it. Others will require it, unless you can provide proof of your own insurance. We generally recommend you purchase this insurance if you do not have it already, as it removes any hassles should you damage the unit, and is generally much cheaper than repair or replacement of the projector. LCD projectors are generally expensive (ranging from $1,000 to well over $10,000), making a $20-30 insurance policy very affordable. 9. Rent in blocks of time LCD projector rental generally costs the most for the first day of use. Most rental services offer reduced rates for longer rentals. If you have multiple presentations to give in an area, try to schedule them together and rent a projector for a longer period of time. Sometimes it can be cheaper to rent a projector for a business week, than for just two days at the beginning and end of the week.
